The Winning Proposal Structure

1. Executive Summary (Half a Page)

Start with outcomes, not features. The executive summary should answer:

  • What will change after implementation?

2. Current State Analysis (1-2 Pages)

Document what you learned in discovery:

  • Process flow diagram
  • Pain points with quantified impact
  • Dependencies and integration points
  • Risk areas

Use the client's own words when describing problems. Quote them directly from discovery calls.

3. Proposed Solution (2-3 Pages)

Describe the automation in plain language:

  • What it does (not how it works)
  • How it integrates with existing tools
  • What humans still need to do
  • What happens when things go wrong

Include a simple diagram showing the workflow.

4. Implementation Timeline

Break the project into phases:
